Summary

The Executive Assistant reports directly to the company’s Managing Director, and is responsible for assisting the Managing Director to work more effectively with internal and external stakeholders.

Position

Responsibilities
The duties of the Executive Assistant include but are not limited to:
• Triaging the MD’s e-mail inbox, and drafting responses as appropriate
• Managing the MD’s daily and weekly schedule, along with preparing travel itineraries
(i.e. briefing books)
• Helping to represent the MD as the face of the company to 1,500+ schools by
sending e-mail followup and managing outreach to key contacts
• Assisting with internal workflows and decision-making, e.g. enforcing internal
processes, helping to improve existing systems, and on-/off-boarding staff
• Accompanying the MD to major conferences and meetings

What will you do and learn?
Note that we already have a sizable G&A staff (a team of 3 full-time employees). This role entails very few administrative responsibilities. It’s more akin to a Chief of Staff or Operations role.
The Executive Assistant touches every piece of the business: billing, sales, support, HR, marketing, product development, and more. You will learn the nuts & bolts of running a software-as-a-service business from end-to-end, and contribute to the fast and efficient growth of a world-class organization.
After one year, we fully expect you will be able to step into most major roles at the company, and would be happy to support any desired career path.

On-Boarding Process
In the first 30 days...
• Familiarizing with all company workflows
• Triaging the MD’s inbox and drafting responses
• Managing the MD’s schedule
• Researching and proposing internal system & workflow improvements

In the next 30 days...
• Organizing consistent outbound sales followup under the MD’s name
• Enforcing internal workflows
• Leading any in-house implementation of systems

Location & Compensation
Location: Taipei preferred, but remote is also fine.
This position requires about 20% travel.

Evaluation Criteria
Your performance will be evaluated based on the following criteria, please carefully consider the following points.
A: Assistance Rendered
1. E-mail: The Managing Director’s inbox is triaged appropriately, e.g. any urgent issues are immediately escalated. Draft and sent correspondence is clear, error-free, and prompt.
2. Scheduling: Daily and weekly schedules are managed correctly, e.g. time zones are converted correctly, and no calls take place at 4am local time. Travel schedules and itineraries are organized clearly and are easy to follow. (e.g. all visa issues, travel times, key contacts, etc. are checked and prepared in advance.)
3. Note-taking: When accompanying the MD on trips, notes taken during meetings or conferences are clear and organized with clear action items.

B: Management
1. Enforcing standards & workflows: Consistently enforcing the internal team processes, across the global team of 20+ employees.
2. Supporting efficient internal systems: Selecting and implementing internal systems, and brainstorming ways of improving existing procedures. The Sales & Support team sees you as the main contact for questions about our internal systems and resources.

1. Communication: Questions and guidance are posed clearly in all communications. You accurately convey the MD’s plans and intentions.
2. Promptness: Questions from colleagues are addressed promptly. Emergency issues are properly managed to resolution to limit any long-term damage.
3. Getting things done: Commitments will be met as agreed, and you are resourceful in your solutions.
